REGULATIONS

  1. GENERAL INFORMATION

ORGANIZER

The Ultra-Bies event, hereinafter referred to as the Run, is organized by the Fundacja Ultra-Bies. Biegnij Za Marzeniami, hereinafter referred to as the Organizer.

Emergency number during the event - will be announced 2 weeks before the event and will be printed on the bibs.

EVENT GOALS

  1. Popularization of the Bieszczady Mountains among runners.
  2. Sports competition in the spirit of fair play.
  3. Promotion of the Bieszczady Mountains culture and folklore.

DATE AND PLACE OF THE RUN


  1. The Run will take place on May 5-6, 2023 (Friday-Saturday).
  2. The central point of the competition is Karczma Runa Leśnego in Dołżyca.
  3. The Competition Office will be located at Primary School No. 1 in Cisna (Szkoła Podstawowa nr 1 w Cisnej).
  • 2. ROUTES
  1. Przebiegły Leszy              10 + km (+475/-550m). Start: Bacówka Jaworzec, finish: Karczma Skup Runa Leśnego in Dołżyca. Time limit: 3h.
  2. Niestrudzony San           30 + km (+1675/-1575m). Start: Rajskie, finish: Karczma Skup Runa Leśnego in Dołżyca. Time limit: 6h.
  3. Zwodnicza Rusałka         44 + km (+1975/-1825m). Start: Eko Marina, Polańczyk, finish: Karczma Skup Runa Leśnego in Dołżyca. Time limit: 10h.
  4. Niezniszczalny Raróg         65 + km (+2800/-2625m). Start: Bóbrka Quarry, finish: Karczma Skup Runa Leśnego in Dołżyca. Time limit: 15h.
  5. Dziarski Czad       102 + km (+4850/-4750m). Dziarski Czad 102k (+4850 / -4750m). Start: Eko Marina, Polańczyk, finish: Karczma Skup Runa Leśnego in Dołżyca. Time limit: 22h.
 
  • 3. TERMS OF PARTICIPATION
  1. Only people who are 18 and have a valid passport or ID card can take part in the Run, except for Przebiegły Leszy 10k route where we allow competitors over 16 to participate - age verification based on the year of birth. NOTE: minors are required to present the permission to participate in the race from their parents or legal guardians, with their signature and PESEL number. The condition for admission to the start is the presence of a parent or legal guardian with an ID card at the time of verification of the competitor at the Competition Office and completion of all necessary documents.
  2. The participant of the Run is aware that during the event she/he counts on herself/himself, and during its duration there may be extreme weather conditions.
  3. The Participant takes part in the Run only on foot, following the designated and marked route.
  4. The route will be marked by the Organizer with tapes, direction indicators and chalk sprays.
  5. To take part in the Run, you must collect a starting package with a bib and chip from the Competition Office. During the Run, the number should be placed in a visible place in front of the body.
  6. If a third party wishes to collect your starting package, the person receiving the starting package should be provided with thisdeclaration, completed and signed, a printed and signed participant card and a photocopy / photo of your ID card - for verification purposes.
  7. By collecting the starting package, the participant declares that he has read the regulations of the Run and has no objections to it.
  8. UcThe participant may leave a deposit (maximum 1 bag with a capacity of 60 liters) at the competition office before the start.
  9. The Participant of the Run agrees to the use of her/his image in photographic or film materials published on the website, as well as in traditional and online media.
  10. The starting package can be collected in person or on behalf of a third party upon presentation of a signed form.
  11. The organizer does not provide participants with accident insurance during the Run.
  12. The organizer recommends all participants to purchase an appropriate insurance on their own.
  13. The organizer has third party liability insurance.
  14. The condition for allowing a runner to run will be to sign the competitor's statement, available at the Competition Office when collecting the starter packages.
  15. The condition for a participant to be allowed to compete in the Mythical Bieszczady race is the fulfillment of the criterion of having running experience, assessed by the RateMyTrail.com service, valued at minimum 379 points.
  • 4. REGISTRATION AND FEES
  1. Applications will be accepted via the online application form available at www.ultrabies.pl, which will be made available on 11/11/2022 at 12:00pm (midday). Registration will be accepted until April 21, 2023, 12:00am (midnight). It will also be possible to register for our races in the Competition Office on May 5 from 12:00pm to 4pm.
  2. The condition for a properly completed application is the complete completion of the online form and payment of the registration fee.

  1. The fee can be paid via the fast electronic payments or directly to the organizer's account (to be selected in the application form).
  2. Applications are accepted until April 21, 2023, 11:55pm or until the limit of places on individual routes is reached.
  3. In the event of a competitor's resignation by 12/31/2022, the organizer will refund 70% of the entry fee (the service fee charged by the quick payment system is not refundable). After 1/1/2023, the organizer will not reimburse the costs incurred by the participant.
  4. The organizer allows the transfer of entry fee and place on the start list to another competitor by February 28, 2023. The condition is to pay a handling fee of PLN 25 paid to the organizer's account. At the same time, it is forbidden to resell the starting places for commercial purposes under penalty of lifetime disqualification from participation in all competitions organized by Fundacja Ultra-Bies.   5. Change of distance / route: a competitor registered and paid for the race can change the route - by e-mail with the Organizer - but no later than on April 7, 2023. The Organizer does not refund the entry fee difference when it occurs when transferring to a shorter route. When moving to longer routes, the participant is obliged to pay the difference in the amount of the entry fee (from the period of its payment). Changing the route will be possible only in the case of vacancies on a given route.
  6. When the athlete does not take part in the run (does not collect the starting package) or does not finish the competition, the entry fee is not refundable.
  7. The organizer is not responsible for the loss of the bank transfer due to the post office or bank fault.
  8. The fee is invalid and is not refundable if the athlete has not registered in the system or the athlete has made a payment despite the visible information about the lack of places in the route.
  9. Information about the positively verified payment will be visible on the starting list in the column FEE. If, despite the payment, your entry is unpaid, contact the Organizer at the e-mail address indicated in the regulations.
  10. If the athlete withdraws from the route at the nutritional point, she/he is obligated to inform the timekeepers or the manager of the nutritional point about decision. If the athlete withdraws from the race beyond the nutritional point, she/he is obliged to inform the Organizer about it by contacting the telephone number indicated on the starting bib.
  11. During the competition, GOPR (Mountain Rescue Service) will watch over the safety of participants.
  12. The organizers reserve the right to shorten or cancel the run or a specific route due to the negative opinion of GOPR or other public services regarding safety, force majeure, extreme weather or the risk of life or health threatening events.
  13. By accepting these Regulations, the participant confirms that she/he is aware that participation in mountain runs is associated with physical effort and the risk of accidents, the possibility of bodily injuries and physical injuries, and in extreme situations it is associated with the risk of loss of life.
  • 5. MANDATORY EQUIPMENT
Mandatory equipment will be checked at the time of collecting the starting packages by the participant at the Competition Office. Equipment may also be randomly checked on the way. Lack of any part ofrequired equipment will result in a penalty of 30 minutes.

The Organizer recommends to record the course of their participation in the Run using a GPS device (e.g. watch). This will facilitate the conduct of any complaint and protest proceedings that may arise during or after the Run.

  • 6. ORGANIZER'S BENEFITS
  • The competition routes are clearly marked with the organizer's tapes;
  • GPX files with tracks of individual routes;
  • Professional timekeeping;
  • A bib number;
  • Medical support on the route (GOPR Mountain Rescue Service);
  • Drinks and meals on the route and at the finish line;
  • The deposit, bags (max. 60 litres) will be issued at the Competition Office and can be checked in before the start. It is not allowed to leave valuable, fragile items. The organizer is not responsible for the content of the deposit.
  • The baggage pack applies only to the Dziarski Czad 102k route. Bags (max. 60 litres) will be handed over at the race office and can be posted before the start. More information on baggage and deposits here.
  • Gifts from sponsors (depends on the sponsors);
  • A medal for all finishers.

  • 8. SAFETY AND ECOLOGY
  1. On the routes, special attention should be paid to the hikers.
  2. The use of poles is allowed.
  3. All athletes in the Run are obliged to compete in the fair play spirit.
  4. Support from third parties is allowed on the route. Using mechanical vehicles is not allowed. Organizer can ask you for gpx from GPS device.
  5. Interference with the course of the route, its marking and the route is forbidden.
  6. Athletes are obligated to comply with the road traffic regulations (PL: Ustawa Prawo o Ruchu Drogowym).
  7. Athletes care about the nature during the Event.
  8. Moving off the route is not allowed.
  9. It is forbidden to throw away rubbish, including gel packaging, damaged water bottles, NRC foil.
  10. Participants agree to abide by the regulations of landscape parks, national parks and nature reserves through which they conduct their running courses.
  11. On the run Przebiegły Leszy 10k and Niestrudzony San 30k you can run with a dog. The athlete should have the vaccination book with yourself, a spare leash and a dog's lance in the start zone. If you ran with a dog, you should start from the end of start zone. You should also sign a dedicated statement in the competition office that you are responsible for any damages done with the dog. The participant starting with the dog, in the event of taking the place taken, is omitted in the classification.
  12. Failure to fix oneself perpetuates the points of imposition of the places of imposing the time penalty of absolute disqualification (presence of fixed restrictions).
  13. The organizers cancel the Run, or make the route shorter, due to the negative GOPR (or other agencies) statement when it comes to safety or security.
  14. By joining the Run, the participant declares that the state of health allows her/him to take part in the Run.
  15. Participants take part in the competition at their own risk. In the event of damage to health or material losses, they will not claim any claims against the Organizers.
  16. By accepting these Regulations, the participant confirms that he is aware that participation in mountain runs is associated with physical effort and the risk of accidents, the possibility of bodily injuries and physical injuries, and in extreme situations it is associated with the risk of loss of life.
  • 9. TRANSPORT / ACCOMMODATION
Tickets will be available from the day of registration until April 21, 2023. The cost of the ticket is PLN 25. Transport will be provided from Dołżyca to the start of individual distances. In addition, transport will be provided by the Bieszczady Forest Railway between Cisna and Dołżyca, which will significantly facilitate communication between towns on the day of the competition without the need to start your own transport. The exact timetable will be added on March 1, 2023 and published on our Facebook fanpage. As the municipalities of Cisna and Solina are tourist municipalities, and the date of the competition is not popular among tourists, there should be no problems with the accommodation.  

  • 10. PROTECTION OF IMAGE, PERSONAL DATA
  1. By deciding to participate in the Run, the participant agrees to the processing of personal data by the Organizer. This consent is necessary for the professional and complete organization of the Run, including the publication of the participant's data on the starting lists and lists with results and sending the participant's result to the telephone number provided during registration, providing personal data and consenting to their processing is voluntary, but it is necessary requirement to participate in the Run.
  2. By signing up to participate in the Run, the participant accepts these Regulations and agrees to the free publication of his image for the promotion and organization of the Organizer's event in the media, as well as in advertisements, promotional materials of the Organizer, partners, media patrons and sponsors, but only for the purpose related to the promotion or marketing and co-organization of the Run.
  3. The condition for participation in the Run is also the consent to the processing of the participant's personal data provided in the application form by the personal data administrator within the meaning of the Personal Data Protection Act of May 10, 2018 and the General Data Protection Regulation No. 2016/679 of April 27 2016 (GDPR) (PL: ustawa o ochronie danych osobowych z dnia 10 maja 2018 r. oraz ogólne rozporządzenie o ochronie danych nr 2016/679 z dnia 27 kwietnia 2016 r. (RODO))
  4. The administrator of personal data of competition participants is Fundacja Ultra-Bies. Biegnij Za Marzeniami with headquarter in Dołżyca 1a, 38-607 Cisna, Poland, entered into the Register of Associations, other social and professional organizations, foundations and ZOZ kept by the Sąd Rejonowy w Rzeszowie, XII Wydział Gospodarczy Krajowego Rejestru Sądowego, with number 0000919319.
  5. The participant has the right to request access to data, rectification, deletion, or limitation of processing and to object to processing, as well as the right to transfer data. Providing personal data is voluntary, but necessary to participate in the Run.
  6. Personal data will be kept for the period necessary to carry out the Run.
  7. The participant has the right to lodge a complaint to the President of the Personal Data Protection Office (Prezes Urzędu Ochrony Danych Osobowych) when he considers that the processing of personal data concerning the participant violates the provisions of the General Data Protection Regulation No. 2016/679 of April 27, 2016 (przepisy ogólnego rozporządzenia o ochronie danych osobowych nr 2016/679 z dnia 27 kwietnia 2016 r.) or the provisions of the Personal Data Protection Act of May 10. 2018. (przepisy ustawy o ochronie danych osobowych z dnia 10 maja 2018 r.) The administrator may process personal data in connection with the organization of the UltraBies Mountain Running event also in cooperation with other people, e.g. volunteers, who carry out activities related to the organization and course of the event.
  

  • 11. COMPLAINTS AND PROTESTS
  1. The Participant of the Run may file a complaint.
  2. Complaints should be sent to the Foundation's e-mail address (biuro@ultrabies.pl) or to the Foundation's address provided in § 1 General information.
  3. The Foundation is obliged to respond to the complaint within 14 working days.
  4. The Participant of the Run may lodge a protest regarding the course of the Run within 24 hours of the end of the competition. The protest must be submitted in writing to the Organizer's seat, and the condition for lodging it is to pay a bid bond in the amount of PLN 200. If the protest turns out to be unfounded, the deposit will not be returned.
  • 12 FINAL PROVISIONS
  1. The organizer may introduce significant changes to the rules of the Run. Each change in the regulations obliges the Organizer to notify the participants of the Run about the change. Changes will be announced at least three days in advance.
  2. After the end of the race or during it, doping control may be carried out. The athlete, who refuses to take part in the inspection, will be disqualified.
  3. The organizer may impose time penalties on participants for gross violation of the rules of the Run.
  4. The organizer and his services, especially medical services, may prohibit the participant from continuing to participate in the Run if there is a significant suspicion of poor health. In this case, the entry fee will not be refunded to the participant.
  5. The Organizer reserves the right to cancel the Run if, in its opinion, the organization may expose participants to the risk of loss of health or life.
  6. The organizer does not return the entry fee if the competition is canceled due to force majeure, e.g. war, cataclysm, epidemic, pandemic, terrorist threat etc.
  7. The Organizer reserves the right to change the date of the Run or cancel it if the current regulations of government institutions do not allow the organization of the Run. If the Run is canceled, 100% of the entry fee will be returned to the participant.
  8. Interpretation of these Regulations is available only to the Organizer.
  9. In connection with the Covid-19 coronavirus pandemic, the Organizer reserves the right to make extraordinary changes to the regulations regarding alternative ways of conducting the event. Changes may also be introduced after the start of registration if the pandemic forces the organizers to make such changes.
  10. The regulations are valid from 11/11/2022.
