1. GENERAL INFORMATION

The organizer of the Ultra-Bies event, hereinafter referred to as the Run, is the Ultra-Bies Foundation, Run for Your Dreams, hereinafter referred to as the Organizer.

GOALS OF THE EVENT
  1. Promoting the Bieszczady region among runners.
  2. Encouraging sportsmanship in the spirit of fair play.
  3. Promoting Bieszczady culture and folklore.
DATE AND LOCATION OF THE RUN
  1. The Run will take place on May 9–10, 2025.
  2. The central location for the event is Bacówka Jaworzec in Jaworzec.
  3. The race office will be located at Primary School No. 1 in Cisna.
2. COURSES
  1. Przebiegły Leszy : 10+ km (+240/-140m). Start: Buk, intersection. Finish: Bacówka Jaworzec. Time limit: 3h.
  2. Niestrudzony San: 30+ km (+1560/-1540m). Start: Rajskie. Finish: Bacówka Jaworzec. Time limit: 7h.
  3. Zwodnicza Rusałka: 55+ km (+2230/-2090m). Start: Eko Marina, Polańczyk. Finish: Bacówka Jaworzec. Time limit: 10h.
  4. Niezniszczalny Raróg: 75+ km (+2660/-2400m). Start: Bóbrka Quarry. Finish: Bacówka Jaworzec. Time limit: 15h.
  5. Dziarski Czad: 102+ km (+3900/-3900m). Start: Eko Marina, Polańczyk. Finish: Bacówka Jaworzec. Time limit: 22h.
  6. Mythical Bies: NOT AVAILABLE IN THE 4TH EDITION. 130+ km (+6125/-5950m). Start: Bóbrka Quarry. Finish: Bacówka Jaworzec. Time limit: 29h.
3. PARTICIPATION CONDITIONS
  1. Participants must be 18 years or older and hold a valid passport or ID card. Exceptions apply to Przebiegły Leszy (10+ km), where runners aged 16+ are allowed. Proof of age is verified based on the year of birth.

    NOTE: Minors must provide parental/guardian consent with their signature and PESEL number. A parent/guardian must be present during verification at the Race Office with a valid ID and complete all required documents.
  2. Participants acknowledge they rely solely on their abilities during the Run and that extreme weather conditions may occur.
  3. Participants must complete the Run on foot, strictly following the designated marked course.
  4. The course will be marked with Organizer tapes, directional signs, and chalk spray.
  5. Participants must collect a start package from the Race Office, which includes a bib number and chip. The bib must be worn visibly on the front of the body during the Run.
  6. If collecting a start package on behalf of another participant, a signed authorization form, a completed and signed participant card, and a photocopy/picture of the participant's ID must be presented.
  7. By collecting the start package, participants confirm they have read and accepted the Rules.
  8. Participants may leave a deposit (one bag, up to 60 liters) at the Race Office before the start.
  9. Participants agree to the use of their image in photographs or videos published on the event website, traditional media, or online platforms.
  10. Packages may be collected personally or by an authorized third party with proper documentation.
  11. The Organizer does not provide accident insurance (NNW) for participants during the Run.
  12. Participants are strongly advised to purchase their insurance independently.
  13. The Organizer holds liability insurance (OC) for participants.
  14. Signing the participant declaration at the Race Office during package collection is mandatory for eligibility.
  15. For the Mythical Bies course, participants must meet the experience criteria of at least 379 RateMyTrail.com points.
4. REGISTRATIONS AND FEES
  1. Registration opens on December 6, 2024, at 6:00 PM via the online form at ultrabies.pl. Registration closes on April 21, 2025, at 11:59 PM. Late registration may not guarantee a full starter package or a finisher medal.
  2. Completing the online form and paying the entry fee are required for successful registration.
  3. Participant limits per course:
    • Przebiegły Leszy 10 km: 250 participants
    • Niestrudzony San 30 km: 250 participants
    • Zwodnicza Rusałka 55 km: 300 participants
    • Niezniszczalny Raróg 75 km: 350 participants
    • Dziarski Czad 102 km: 250 participants
    • Mythical Bies 130 km: NOT AVAILABLE IN THE 4TH EDITION

    Mandatory equipment will be checked during the participant's package pickup at the race office. Equipment may also be checked randomly on the course. Missing any of the listed items will result in a 30-minute time penalty.

    The organizer recommends participants to record their race progress using a GPS device (e.g., a watch). This will facilitate potential claims and protests during or after the race.

    • 6. ORGANIZER'S SERVICES
    • Race routes clearly marked with the organizer's tape;
    • GPX files with tracks of each route;
    • Professional time measurement;
    • Commemorative bib number;
    • Medical assistance on the route (GOPR);
    • Refreshments and food on the route and at the finish line;
    • Deposit service: bags (max. 60 liters) will be provided at the race office and can be handed in before the start at the race office. No valuable or fragile items are allowed. The organizer is not responsible for the contents of the deposit.
    • Drop bag service (for Dziarski Czad 102+ km route only): bags (max. 60 liters) will be provided at the race office and can be handed in before the start. More information about drop bags and deposits can be found here.
    • Gifts from sponsors (quantity depends on sponsors);
    • Commemorative medal for all finishers.


    • 7. CLASSIFICATION AND AWARDS
  5. a. Classification in all races will be conducted in the women's and men's categories (overall classification). Full classification will be published after the last participant reaches the finish line on the last day of competition for a given distance.
  6. b. Awards will be given to the top six individuals in the overall women's and men's categories for each distance.
  7. c. The organizer may decide to award the top three individuals in age categories. Prizes will depend on the generosity of sponsors. The organizer reserves the right to award financial prizes for selected distances.
  8. d. Detailed information on whether and for which distances age category prizes and financial prizes will be awarded, as well as their amounts, will be announced in a separate communication by the organizer.
  9. e. The award ceremony will take place at the time and location indicated in a separate communication.

    • 8. SAFETY AND ECOLOGY
    1. Pay special attention to pedestrian tourists on the route.
    2. Poles are permitted during the run.
    3. All participants must compete in the spirit of fair play.
    4. Assistance is allowed along the entire route during the event. However, using any form of transportation during the race is prohibited. The organizer may request a verification of the participant's watch record after completing the race.
    5. Any interference with the route, its markings, or shortening the route by participants is strictly prohibited.
    6. Participants must follow traffic regulations on sections of the route that use public roads.
    7. Participants are required to respect nature on the routes, refreshment points, and at the race base.
    8. Staying off the marked trail is prohibited.
    9. Littering, including disposing of gel wrappers, broken bottles, or NRC foil, is strictly prohibited.
    10. Participants must comply with the regulations of landscape parks, national parks, and nature reserves through which the race routes pass.
    11. Participants of the Przebiegły Leszy 10+ km and Niestrudzony San 30+ km races may run with a dog, subject to conditions such as bringing a vaccination booklet, a short leash, and a muzzle for the dog in the starting area. Participants with dogs must start at the back of the pack and provide a short declaration at the race office, taking full responsibility for any damage caused by the dog. Dogs' presence must not inconvenience other participants, and dog-assisted participants will not be included in prize classifications.
    12. Non-compliance with any of the above points may result in a time penalty or disqualification, at the discretion of the organizer.
    13. The organizer reserves the right to shorten or cancel the race or specific routes due to adverse safety opinions, force majeure, extreme weather, or potential risks to life or health.
    14. By participating in the race, each participant declares that their health condition allows them to participate in such physical activity.
    15. Participants compete at their own risk and waive any claims against the organizers for injuries or material losses.
    16. By accepting this regulation, participants confirm they are aware of the risks associated with mountain running, including physical effort, accidents, injuries, and in extreme cases, life-threatening situations.
  11. 9. TRANSPORT/ACCOMMODATION
  12. Bus tickets will be available from the start of registration until April 21, 2025. The ticket price for the ride is 35 PLN. Transportation will be provided from Jaworzec and Cisna to the start of the respective race distances. Additionally, in the afternoon, bus transport will be provided from Jaworzec to Cisna, which will significantly ease communication between the two towns on race day. The exact schedule can be found on the main website www.ultrabies.pl/transport. Since the Cisna and Solina municipalities are tourist areas, and the event date is not during the peak tourist season, there should be no issues with accommodation availability.

    • 10. IMAGE RIGHTS, PERSONAL DATA
    1. By participating in the Race, the participant agrees to the processing of personal data by the Organizer. This consent is necessary for the professional and complete organization of the Race, including the publication of the participant's data on the starting lists and result lists, and sending the participant's result to the phone number provided during registration. Providing personal data and consenting to its processing is voluntary, but it is a necessary requirement for participation in the race.
    2. By registering for the event, the participant accepts this Regulations and agrees to the free publication of their image for the promotion and organization of the event in media, as well as in advertisements and promotional materials of the Organizer, partners, media patrons, and sponsors, but only for the purpose of promoting or marketing and co-organizing the event. Additionally, by accepting the regulations, the participant agrees to receive promotional materials from the organizer.
    3. Participation in the Race is also conditional upon the participant's consent to the processing of personal data provided in the registration form by the personal data administrator in accordance with the Personal Data Protection Act of May 10, 2018, and the General Data Protection Regulation (EU) 2016/679 of April 27, 2016 (GDPR).
    4. The personal data administrator of the participants is the Ultra-Bies Foundation. "Biegnij za marzeniami," located at Dołżyca 1a, 38-607 Cisna, registered in the Register of Associations, Other Social and Professional Organizations, Foundations, and Healthcare Centers maintained by the District Court in Rzeszów, XII Economic Division of the National Court Register, under number 0000919319.
    5. The participant has the right to request access to their data, correct, delete, or restrict processing, as well as the right to object to the processing, and the right to data portability. Providing personal data is voluntary but necessary and required to participate in the sports event.
    6. Personal data will be stored for the period necessary to carry out the Event.
    7. The participant has the right to file a complaint with the President of the Personal Data Protection Office if they believe the processing of their personal data violates the provisions of the General Data Protection Regulation (EU) 2016/679 of April 27, 2016, or the Personal Data Protection Act of May 10, 2018.
    8. The Administrator may process personal data in connection with the organization of the Ultrabies Mountain Runs event in cooperation with other persons, such as volunteers, who perform tasks related to the event's organization and execution.

    • 11. COMPLAINTS AND PROTESTS
    1. The participant may file a complaint.
    2. The complaint should be sent to the Foundation's email address (biuro@ultrabies.pl) or the Foundation's address provided in § 1 General Information.
    3. The Foundation is obligated to respond to the complaint within 14 business days.
    4. The participant may file a protest regarding the race's course within 24 hours after the competition has finished. The protest must be submitted in writing to the Organizer's office, and a deposit of 200 PLN is required to submit the protest. If the protest is deemed unjustified, the deposit will not be refunded.
  13. 12 FINAL PROVISIONS
    1. The Organizer may make significant changes to the race regulations. Any change in the regulations obligates the Organizer to notify the participants of the change. Changes will be announced with at least a three-day notice.
    2. After the race or during it, an anti-doping control may be carried out. A participant who refuses to participate in the control will be disqualified.
    3. The Organizer may impose time penalties on participants for serious violations of the race regulations.
    4. The Organizer and its services, especially medical services, may forbid a participant from continuing the race if there is a significant suspicion of poor health. In such cases, the entry fee will not be refunded.
    5. The Organizer reserves the right to cancel the race if, in their opinion, the organization of the event may expose participants to the risk of health or life loss.
    6. The Organizer does not refund entry fees if the event is canceled due to force majeure, such as war, natural disaster, epidemic, pandemic, terrorist threat, etc.
    7. The Organizer reserves the right to change the race date or cancel it if current government regulations do not allow for the organization of the event. If the race is canceled, 100% of the entry fee will be refunded to the participant.
    8. The interpretation of these Regulations is exclusively the responsibility of the Organizer.
    9. Due to the Covid-19 coronavirus pandemic, the Organizer reserves the right to introduce extraordinary changes to the regulations regarding alternative ways of conducting the event. Changes may also be introduced after registration starts if the pandemic forces the organizers to make such changes.
    10. The regulations are valid from November 11, 2022.
